When buying for a small business, it is necessary to find affordable and functional office equipment. Developing enterprises do not have extensive budgets for top of the line machinery. Here are three considerations to keep in mind when choosing between inkjet or laser printer copiers for your small business.CostMost likely, pricing is the tipping point between the two systems. While an inkjet is initially cheaper, in the long run, the cost of cartridges can really add up. Some provider companies do not earn much on the unit. In turn, they increase the price of ink cartridges to maximize profits. Many inkjet systems require different cartridges for each color, which can really increase regular maintenance costs.A laser printer copier, on the contrary, will initially cost more, but have more affordable ink prices. Most of these are monochrome, meaning only black-and-white copies, so there are not multiple cartridges to replace. Typically, units that do have a color option only use a single color cartridge. There is less to buy and replace with this option.Different NeedsAn efficient office needs hardware suited for its specific needs. If your company is printing out reports, manuals, or other documents that are made up mainly of words with little to no graphics, then a laser printer copier is the way to go. These systems print crisp, clear text quicker than traditional inkjet. While they are traditionally not as good at doing photos or graphics, newer models are making strides to improve image quality. For printing photos or documentation with heavy graphics, an inkjet is the way to go. These systems produce flawless images with an unmatched quality when compared to competing systems.Speed and Two-Sided PrintingIf speed is central to your business, then avoid an inkjet. This system pounds each dot of ink into the page, creating a rich image at the expense of speed. In addition, a laser printer copier has superior paper handling options. Most of these models can hold up to 250 sheets in the main tray and frequently have a second tray for additional paper. Many allow duplex (two-sided) printing, which, in the end, can save companies time and money. When choosing between a laser printer copier and an inkjet copier, remember to consider your small business budget, production needs, and functional needs. These considerations will help you find the best match for your budget and small business. Printer Repair

Often overlooked is the ability of the copier and the expertise of the dealer’s support staff to integrate into your existing software. I’m not talking about “scan to email” and the basic functionality that all copiers have today. I’m referring more to, for example, native integration into your electronic document management system and other types of back end business systems. Even if you don’t have the need now or don’t even have those types of software systems, will you in the future? Chances are you will be entering into a 3 to 5 year lease commitment for your copier. You need to consider possible future needs.

How Long Will a Laser Printer, Copier Toner Cartridges Last?

In the era of a "down economy" many companies are searching every avenue to save money. Some companies have tried to go the route of used equipment. Buying from Craigslist, Ebay, Lease returns and other used equipment sources. does it save money? or Is it as costly or more costly as new?Over the years I have seen used equipment purchased in many environments. Frankly the results have been mixed. Sometimes, companies have found a great fit that was a great savings for them. More often, I have found companies disappointed. The savings have either not been what they expected and some times a direct loss.Over the years one of the greatest mistakes I have seen with the purchase of used equipment is improper shipping. A number of years back, one customer called for help with a folder inserter they had bought from a few states away. The seller had boxed the 70+ pound machine in a heavy duty box with Styrofoam popcorn. Now, popcorn is an OK packing material for light weight product. Unfortunately, it is not adequate for what is in essence a 70 lb brick. Needless to the machine did not arrive in an operational mode. The frame was bent and need serious repair and replacement parts before the machine would work. Another customer called us for help with an address printer. The printer was so bent it could not be repaired. A few years back, I thought I had found a "DEAL" at a lease return house that I could resell at a great profit. Unfortunately, the machine had an electrical glitch that would have cost $1,000's to repair (more than the machine was worth). Two years ago I was working with a time share resale company to acquire an addressing machine. They decided instead to purchase a machine from eBay. The machine worked but not so well. After using that machine for six months and then trying another used machine, they finally purchased a new machine. Shortly after delivering and installing the machine I received a text from one of the principals, "Homer, I'm in love." was the response. They were able to increase their productivity from 4,000 to 6,000 pieces per hour to nearly 20,000 pieces per hour (oh, and achieve a better approval rate from the United States Postal Service (i.e. less postage $$)).In another setting, a company leased a used copier because they felt they would save dollars because it was a used copier.  In the end, they are spending more money for the used copier and are receiving less utility.  The used copier, was slower, higher supply costs and not the same quality of print they would have received with a new unit.So the moral of the story, Used equipment might save you money. But, if your going to purchase used equipment make certain you have a company that can service your equipment. It is not IF you will need service but how often you will need it. It may look inexpensive at the outset but it may just be cheap. Unfortunately cheap, frequently means more expensive. Also, don't be afraid to look at new equipment. Many manufacturers are putting together promos and lease packages that make New Equipment actually less expensive. They are motivated to move the gear out of their showrooms and warehouses. So ASK. Make sure you have "right-sized" your equipment. With all of the changes in our world, you may not need as large of a machine as you once did. Then again, maybe you do. Take a look, either way, having the right equipment will be budget saving in the end.Look for new equipment that fits your budget. Equipment that you know the history of, Equipment with a warranty, Equipment that has someone who will support you in accomplishing your mission with the equipment.

Compatible means that the cartridge will work with the specified equipment even though it is not made by the manufacturer of the equipment in question. In most cases this situation exists when the manufacturer of the original equipment does not have a patent on the design of the supplies or that patent expired. As with generic prescriptions, this allows manufacturers of generic supplies to make brand new compatible or generic cartridges. Examples of these are many ribbons for dot matrix printers, many Epson ink cartridges as well as many Canon ink cartridges. In our highly competitive and ever changing market, there are companies that will label remanufactured cartridges as compatible. It is hard to tell in all cases, but as a guide, here is a list of products where you can expect compatible or generic supplies to be available: copier toner, printer toner and Most HP, Lexmark, Canon, and Xerox laser toner cartridges can be remanufactured.
